Position Overview:
This part-time role provides essential administrative and operational support to the CEO of a start-up non-profit organization. This role is key to ensuring the CEO’s time, energy, and vision are optimized across multiple projects and initiatives.
As a startup nonprofit scaling into a larger institution, The Well Collective relies on strong internal systems, clear communication, and trusted relationships. This role will play a vital part in strengthening each of those pillars. The ideal candidate is highly professional, a strong communicator, and comfortable managing sensitive information with the utmost discretion.

Key Role Responsibilities:
Calendar Management: Ensure the CEO’s calendar is up-to-date, managing appointments, meetings, and deadlines efficiently.
Meeting Coordination: Organize and coordinate all meetings, including preparation of agendas, meeting materials, and minutes.
Communication Management: Handle all incoming and outgoing communications for the CEO, prioritizing and responding appropriately.

Project Tracking: Track the progress of key projects and initiatives, providing regular updates to the CEO.
Internal and Community-Based TWC Programs

Strategic Stakeholder Engagement
Administrative & Operational Support
Prepare documents, presentations, schedules, and travel arrangements as needed.
Organize meeting agendas, schedules, notes, and ensure timely follow-up
communication.
Maintain confidentiality and handle sensitive materials with discretion and professionalism.
Stakeholder Engagement & Liaison Support
Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and accurate communication via phone, email and in-person
Maintain a communications log to track correspondence with funders, partners, and collaborators.
Efficiency & Organization Systems
Help streamline the CEO’s workflows by improving and maintaining systems such as:
Google Drive (file management, naming conventions)
Email inboxes and mailing lists
Meeting communications and follow-up tracking

Ideal Qualifications:
Strong administrative or executive assistant experience, preferably in a nonprofit or mission-driven organization.
Excellent written and verbal communication skills.
Highly organized, detail-oriented, and skilled in managing competing priorities.
Tech-savvy: Proficiency with Google Workspace (Gmail, Docs, Calendar, Drive) and basic digital project management tools.
Able to work independently and maintain confidentiality in a fast-paced, values-driven environment.
Deep alignment with The Well Collective’s mission and values around community, wellness, and equity.
Comfort working in a startup or early-stage organization where systems are still forming.
